About the Role:
We are seeking an experienced Administrative Assistant IV to provide advanced administrative support to the Vice President of Patient Services and her team. This role is a one-year contract with the possibility of transitioning to a full-time position based on performance within six months. The position follows a hybrid work model, requiring three Day on-site and two Day working from home. The ideal candidate will demonstrate a bias for action, executive presence, agility, team collaboration, discretion, and problem-solving skills.
Responsibilities
- Provide advanced administrative support to team leaders and back-up support to other staff as needed.
- Ensure compliance with corporate and divisional policies and procedures, including purchasing, requisition, security, privacy, branding, and copy center procedures.
- Interact with high-level executives and handle confidential or business-sensitive information.
- Track budget expenditures and maintain departmental files in compliance with regulations.
- Utilize MS Office Suite and other business-specific software, including travel and expense management systems.
- Coordinate new employee office set-ups and onboarding processes.
- Train and coordinate work for new administrative assistants.
- Manage administrative functions such as answering phones, calendar management, scheduling travel, processing expense reports, and handling correspondence.
Education Qualification - A high school diploma or equivalent is required.
- Additional certification in office administration or related field is preferred.
Required Skills - Proficiency in MS Office Suite and business-specific software.
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Ability to handle confidential information with discretion.
- Experience in managing calendars, travel arrangements, and expense reports.
- Ability to work collaboratively in a team environment.
- Problem-solving skills and a proactive approach to conflict resolution.
